How can I schedule a control?

Save time by automating your recurring controls or trigger manual controls based on identified events.

Go to “Control Management” image-png-Jun-23-2022-09-05-39-29-AM  in the left menu.

Create a new control by clicking "Create new control" or access an existing control by entering a Control Program and then clicking on the specific control.

Both ways should lead you to the control editor, and there you scroll down to the third section called "Schedule": 

Choose one of the two scheduling options:

  • Respond to special events with the manual option. The control will only be sent out once for the specified due date. 
  • Automate your regular controls with the recurring option. It will be automatically sent out to the control responsible(s) in a given frequency, such as monthly, quarterly, yearly etc. 

To schedule a manual control, click the "Manual"-button, and you will get the below view:

  • Due date: Enter the date and time of the day where the control should be done and handed in. You can change the timezone by clicking on the green "CET"-text.
  • Period: Enter the period for which the control should be done.

Note! With the manual scheduling, the control will run one time only on the due date chosen.

 

To schedule a recurring control, click the "Recurring"-button, and you will get the below view:

  • Interval: Enter the interval for which the control should be sent out.
  • Starting from: Enter the start date. This is to set a starting point for the recurring event.
  • Period: Enter the period for which the control should be done.
  • Due date: Enter the date and time of the day where the control should be done and handed in. You can change the timezone by clicking on the green "CET"-text.

You can also customize the schedule, if you e.g. need to send out the control on a different date or not at all in some periods. Tick the small box "customize (monthly) schedule", and a drop down with the options will appear as seen on the screenshot below.

 

Note: If you wish to use a business days calendar or individualize your company calendar, please reach out to your Customer Success Manager.

The control will be sent out to the responsible user on the set amount of days before the due date. This part is set up in the "Planning"-section.

Which recurrence options can I set when setting a recurring control?

  • Weekly: The control will be run at the specified weekdays. You can choose more than one day if you want your control to run several times a week. Furthermore you can make the recurrence every 1 to 6 weeks.
  • Monthly: The control will run every month. You specify on what day the control should be due, here you can either set a specific day of the month or choose a business day e.g first business day of the month.
  • 2 months: The control will run every 2nd month. You specify on what day of the month the control should be due.
  • Quarterly: The control will run once every quarter of the year. You specify on what day during the quarter the control should be due.
  • Every half year: The control will run once every half year. You specify on what day the control should be due.
  • Yearly: The control will run one time per year. You specify on what day during the year the control should be due.
